The Finance Coordinator is a member of the New Jersey Office for Refugees (NJOR) team and is responsible for essential accounting functions related to accounts payable and accounts receivable, monthly and closing assistance, and file maintenance. The Finance Coordinator offers support to other team members as needed. This is a full-time, exempt position, reporting directly to the Statewide Coordinator of Refugee Services.

ESSENTIAL JOB FUNCTIONS:

  • Ensure office compliance with IRC's accounting policies vis-à-vis fund accounting as noted in IRC's finance manual and generally accepted accounting principles.
  • Coordinate the protection of the organization's assets by implementing IRC Control procedures.
  • Review all accounting transactions to properly ensure proper coding and enter all transactions into IRC's accounting software.
  • Identify the requirements to aid in the management and tracking of financial reporting for all grants, sub-grants, and funding awards.
  • Prepare the quarterly report on grant disbursements and revisions of grant budget allocation to implementing partners.
  • Prepare annual and quarterly cash budgets and submit the monthly cash transfer request.
  • Review and process all reimbursement requests in a timely manner; ensure proper account coding and obtain appropriate approvals and signatures as necessary; distribute payments and file payment vouchers; mail payments to vendors and sub-agencies.
  • Coordinate submission of Time Sheets via Novatime and Effort Reports from staff.
  • Prepare month-end closing process including preparation of journal entries and payroll allocation entries.
  • Manage finance, grant and account files, including lease agreements for all equipment rentals e.g. copy machine, postage machine, etc. and serve as the focal person for maintenance of office equipment.
  • Maintain a complete and up-to-date list of all NJOR inventory including item specifics (e.g. date of purchase, user of item, serial number, purchase price).
  • Supervise the field office's banking arrangements. Reconcile bank statement on a monthly basis. Process cash receipts and bank deposits.
  • Prepare financial reports to various donors as per contractual obligations. Submit reports to the donors after obtaining sign off from the Statewide Coordinator of Refugee Services and/or relevant Program Manager.
  • Prepare "grant specific" monthly actual to budget report and analyze finance reports submitted to appropriate colleagues and to IRC HQ.
  • In coordination with the Statewide Coordinator of Refugee Services and the US Programs Budget Officer, prepare the field office's annual operating budget as per the guidelines from US Programs Headquarters.
  • Participate in other projects and assignments as needed.

REQUIREMENTS:

  • Bachelor's degree in Accounting or Business Administration preferred, or equivalent work experience.
  • Experience with accounting, book keeping and financial control procedures; previous non-profit agency experience preferred.
  • Excellent communication and follow up skills- both verbal and written.
  • Well organized, high attention to detail, ability to multi-task, set priorities and meet deadlines in a fast-paced environment.
  • Enthusiasm about working in a multi-cultural setting.
  • Self-direction and initiative to complete tasks, or take the lead on projects when needed.
  • Good interpersonal skills: ability to work effectively with clients and partners in a cross-cultural, multi-disciplinary environment.
  • Solid computer skills including Excel, Word, Outlook. Other financial related software experience e.g. Sun preferred.
