Job Overview/Summary:
This position supports the Economic Recovery & Development Unit by providing a variety of administrative support, liaison activities within IRC's headquarters location, and direct support to the unit director. This includes assisting the Grants and Operations Coordinator and carrying out administrative tasks for the Director, Deputy Director, Senior Technical Advisors, Technical Advisors, and consultants.
Major Responsibilities:
General Administrative & Operations Support
- Provide direct support to the Director and Deputy Director of the unit as needed, including event planning and support, presentation preparation, scheduling and logistical support for travel;
- Provide administrative support on travel requests, logistics, purchase requests, human resource forms, budget recodes and additional support as needed;
- Lead process for consultant hiring and staff on-boarding;
- Plan and organize logistics for annual workshops and other meetings, making travel arrangements for participants, identifying venues, procuring supplies, organizing registrations, and reviewing ground rules and overall workings with participants;
- Respond to day-to-day communications in a timely manner, ensuring that relevant team members are informed and copied as necessary.
Grants Management Support
- Manage opportunity development processes of new opportunities from start to finish ensuring compliant and timely submissions
- Work with Project Managers to monitor grant spending and raise concerns to Coordinator as necessary
- Coordinate Grants Opening and Review meetings
- Manage the OTIS workflow for TU-Led grants' approval processes
- Provide administrative support to grants including but not limited to cost-share reporting, consultant hiring, financial reporting, document signing, and specific grant activities
Knowledge Management
- Regularly update and maintain content for ERD's Rescuenet and rescue.org pages;
- Maintain a calendar of team member travel and key events;
- Plan and schedule ERD Bi-weekly meetings in coordination with Coordinator including agendas, logistics, keeping and sharing minutes;
- Support the editing and dissemination of ERD technical products in collaboration with the technical advisors;
- Create and disseminate ERD weekly update
Communications
- Assist with the development, updating and dissemination of ERD communications materials for external audiences;
- Develop capacity statements for each of the unit's program areas;
- Other duties as assigned by ERD Director.
Key Working Relationships:
Position Reports to: ERD Senior Technical Director
Other internal and/or external contacts:
Internal: Work involves regular contact with Director and liaison with other departments, including finance, procurement and human resources.
External: Maintains contacts with core groups of other organizations performing similar work and has limited communications with consultants.
Job Requirements:
Education:
- Bachelor's Degree in a related field (International Affairs, International Development, Economics, Social Work, etc.);
- Master's Degree in a related field is a plus
Work Experience: Minimum of one to two years of work experience is required, preferably within a non-profit organization, providing administrative support responsibilities in a fast-paced, professional environment.
Demonstrated Skills and Competencies:
- Outstanding organizational and administrative skills, with a proven ability to prioritize projects with attention to detail;
- Meticulous writing and editing skills;
- Excellent interpersonal and communication skills: the ability to successfully and effectively liaise with a variety of people in a multi-cultural environment;
- Flexible work attitude: the ability to work productively in a team environment, problem solve with minimal guidance and support any range of projects at a moment's notice;
- Excellent computer skills: MS Word, Excel, and database software;
- Experience in graphic design and with InDesign, Illustrator, Photoshop a plus
Language Skills:
Foreign language fluency (especially in French or Arabic) a plus
