Job Overview/Summary:
IRC is currently engaged in a project to implement an Enterprise Resource Planning (ERP) Management system across Finance, Supply Chain and Grants Management functions in all IRC locations. This project will retire a number of existing systems, bringing them in to a cloud based Microsoft Dynamics 365 environment.
The IT department supports the organization's work by providing reliable and scalable applications and infrastructure of the IRC's offices in the US and around the world. An integral component of this effort is ensuring users have the knowledge and training needed to utilize our business systems effectively.

The purpose of the role:
The Internal Projects Communications Specialist will have experience driving engagement and leveraging internal communications best practices while understanding a complex global audience. With a primary focus on communications to a variety of stakeholders about the design, development, deployment, training and sustainability of an ERP System, this role may also support other change and transformation projects.
As a member of the ERP Change Management Workstream, this position will work closely with project managers, communication and training leads, as well as the organization's internal communications team to implement and measure the success of the ERP communications strategy. Responsibilities will align with the overall approach for adoption of the change. There will also be the opportunity to create and standardize processes for future internal project communications. Another key aspect of this role will be to support instructional documentation needs for the ERP system and other IRC business applications, including reference guides and other supporting learning materials.

Major Responsibilities
- Develop and manage delivery of comprehensive and coordinated project and program level communication strategies and plans to enhance employee engagement and ensure regular, timely and relevant flow of information.
- Produce and maintain internal training documentation in English; including training and user manuals, help documents, videos, presentations, etc.
- Measure communication effectiveness and employ best practices to continuously improve communications, communication channels and establish new channels.
- Build relationships with and gather inputs from project team members and stakeholders to drive overall communication engagement in alignment with ERP implementation plans.
- Understand the needs of the functional and program areas of the IRC and leverage results from research and assessments to strengthen communication and content.
- Develop, gather and report on communication metrics that monitor the quality, timeliness and impact of project communication strategies and plans.
- Manage translation needs with translation vendors to ensure quality, timely and efficient translation outputs.
- Understand the IRC brand and vision to ensure all communications are aligned.
- Partner with the IRC's internal communications team and other communication and program staff across interlinked projects to understand dependencies and manage deliverables.

- Project Managers and Project Coordinators in the Project Management team,
- Project Business Owners and Steering Committee,
- Various Internal Stakeholders that will ultimately use and interact with the ERP system.
Requirements & Skills
- Bachelor's degree in Corporate Communications, PR, Journalism, English or equivalent;
- Five years of experience in a communications and/or technical writing role, of which a minimum of two years' experience in a dedicated internal communications and/or instructional technical writing post.
- Experience actively researching, developing and executing internal change management communication strategies.
- Specific instructional writing or technical documentation/authoring experience, ideally in relation to systems training.
- Excellent relationship building skills with stakeholders that are from a diverse group of departments and locations;
- Experience measuring communication and engagement effectiveness.
- Strong written communication and presentation skills.
- Proficiency in Microsoft Office suite and experience with Intranet Communication best practices, and ideally, the Interact intranet platform.
Preferred Skills
- Experience with ERP systems implementation.
- Experience with use of email analytics programs.
- Experience creating, editing and deploying short videos for internal audiences.
- Experience managing translation vendors and ensuring quality translation outputs.
- Working knowledge of design software an advantage.
- Excellent command of the English language and writing skills, fluency in French or Arabic a bonus.
Preferred Additional Qualifications
- Experience with Microsoft Dynamics 365 for Operations (or other enterprise systems).
- Experience with CRM and / or Supply Chain Management systems.
- Fluency in French or Arabic a plus (but not required).
- Experience with Office 365, Box and Content Management Systems.
