IRC's Office of General Counsel (OGC), reporting to the President and CEO, provides legal advice and guidance to IRC management and the Board of Directors on a wide range of matters affecting the IRC and its affiliated entities, including contracts, employment issues, governance, requests for information, policy making and compliance, and compliance with applicable laws and regulations. The OGC is also responsible for overseeing domestic and international litigation and outside counsel.

OGC serves as a resource for informed decision-making providing independent, timely and thoughtful advice on the broad range of legal issues that our programs, departments, boards and legal entities face. It looks to prevent legal problems and solve those that occur, to facilitate transactions, and to build structures that consider the longer-term impacts of a transaction, litigation, governance issue or other corporate matter.

Job Overview/Summary:

The IRC OGC is seeking an energetic and affable Legal Assistant to join a highly collaborative legal team and be responsible for supporting various functions of the department critical to its efficient and effective functioning. The Legal Assistant is a full-time position based in New York Headquarters. Reporting to and under the supervision of the General Counsel, and with the guidance of the Executive Assistant/Department Manager, the Legal Assistant will be an integral part of the department, responsible for assisting the General Counsel, supporting/facilitating the work of the attorneys and other personnel in the Office of General Counsel, providing administrative, legal and clerical support to the department in a team-oriented environment.

Preferred candidates will have previous work experience in a legal office environment, proficiency with standard office procedures, and the capability of working in a team/collaborative environment as well as independently. The Legal Assistant must be detail-oriented and have the ability to juggle several projects at once. The ideal candidate will have a "can-do" and "will-do" attitude, with the ability to effectively respond to occasional high-pressure/time sensitive/quickly-changing situations in a flexible and efficient manner; possess a professional demeanor; and maintain a good sense of humor.

Major Responsibilities:

  • Perform legal research and provide legal support to General Counsel, as well as other OGC attorneys and legal compliance officer, as requested, including, for example:

  • Revise templates as directed; draft, edit and proofread legal and other documents.

  • Assemble research materials; compile, analyze, and organize information; and assist with legal document production.

  • Assist in compliance requirements arising from the USA Patriot Act and Executive Order 13224 and other federal laws when engaging in third party transactions, ATC policy/database and various state registration requirements.

  • Other duties/activities as directed.

  • Provide ongoing and routine administrative support to the General Counsel and OGC department including: preparation of basic correspondence, spreadsheets, internal reports; assisting with meeting/conference logistics; other duties as requested.

  • Assist in maintaining the OGC electronic and paper filing systems, including shared departmental network drive; perform electronic archiving functions as needed.

  • Update external counsel database and files.

  • Liaise with IRC travel agent to facilitate travel arrangements for OGC staff/arrange for visas when necessary.

  • Assist in electronic archiving of IRC historical governance documents.

  • Other duties/projects, as assigned.

Minimum Qualifications

Job Requirements/Core Skills

  • Bachelor's degree required or equivalent work experience
  • Previous work experience in an office environment required; minimum of 2 years' office experience preferred; legal office experience highly desirable.
  • Proficiency with standard office equipment and procedures.
  • Excellent written and verbal communications skills.
  • Proficiency with MS Word, Excel and PowerPoint, Outlook, various databases and Internet research skills.
  • High level of interpersonal skills to handle sensitive and confidential situations with utmost discretion.
  • Demonstrated interest in humanitarian issues and international affairs.
  • The ability to successfully interact in writing and in person with a variety of people in a global, multicultural environment.
  • Patient, flexible attitude; professional demeanor.
  • Strong work ethic.
  • Ability to work independently with frequent interruptions and adapt to changes in workflow.
  • Ability to rapidly shift between multiple projects and priorities.
  • Excellent organizational, time-management and prioritization skills.
  • Willingness to become a Notary Public highly desirable.
