Job Description

Background/IRC Summary: The International Rescue Committee (IRC) responds to the world's worst humanitarian crises and helps people whose lives are and livelihoods are shattered by conflict and disaster to survive, recover, and gain control of their future. Founded in 1933, the IRC is a prominent international organization working in relief, rehabilitation, protection, post-conflict development, resettlement services and advocacy in over 40 countries and 22 U.S. cities.

The IRC's Airbel Center is aimed at investing in the design, development, and scaling of new humanitarian interventions and delivery models. The lab seeks to apply best practices from human-centered design, rapid iteration, cross-functional problem-solving, and a portfolio management function in the humanitarian context. Combining these capabilities in IRC's extensive field presence, supported deep sector expertise from our research capability, we believe it is possible to design and scale breakthrough humanitarian programs that could impact millions of people most affected by conflict and disasters.

Job Overview/Summary: Based in IRC Headquarters in New York City, the Program Manager, Innovation will join a multidisciplinary team of user-centered design and social sector experts to provide operations and financial support to the team. Reporting to the Senior Grants and Operations Coordinator, this position will help ensure that innovative projects that the lab manages are well supported and resourced. This includes supporting business development and grant management, and providing procurement and administrative support for the team.

In this role, you will have the opportunity to learn about design and innovation techniques from seasoned design professionals, help us shape and plan innovation projects for success, and learn the ins and outs of the financial and operational aspects of innovation projects. You will also have the opportunity to be directly involved in R&D projects by supporting research and project design, and will receive coaching in design-thinking and innovation strategy methods.

You will help us:

Grow Our Business

  • Manage our pipeline of new opportunities across private, public and individual donors
  • Manage proposal development project timelines
  • Support development of budgets for grant proposals and budget narratives with technical input from project leads and country teams.
  • Provide guidance for proposal responses to any budget-related issues, including on relevant narrative sections as well as cost considerations
  • Ensure donor and IRC compliance requirements and reviews are met, and manage IRC's internal Opportunity Tracking Information System for new proposals

Manage our Funding

  • Review, track, and analyze expenditures for R&D grants; create monthly Budget Versus Actual reports and ensure expenses are in line with grant requirements and projected spending
  • Ensure quality information management related to grants by overseeing the regular maintenance of grant files, reporting calendars, and updating of internal IRC documentation and grants management tools
  • Develop guidance, templates, and toolkits to ensure timely submission of narrative and financial donor reports
  • Advise project leads on donor management, partnership management, and grant compliance related issues
  • Prepare quarterly and financial reports as per donor requirements, ensuring they are complete, accurate and produced on a time to ensure adequate review, approval and submission
  • Support the development and management of partnerships and sub-awardees
  • Process payments, procurement requests and travel

Support Our Team

  • Backstop our Chief Innovation Officer with scheduling, meeting requests and administrative support
  • Support with keeping track and administration of hiring needs for the team based in New York and individual country programs, including Airbel's new regional team in Jordan
  • Liaise with IRC HR, global supply chain and Airbel staff to manage hiring of all individual consultants and company contracts
  • Manage onboarding of new staff by ensuring all necessary hiring forms are submitted, equipment is ordered, and set-up/orientation meetings are scheduled. Provide close assistance to new staff during initial period of employment
  • Help us develop systems and tools for effective collaboration, inter-team communication and prioritization

Qualifications

Job Requirements:

  • Bachelor's degree or equivalent with at least 2 years of professional experience, grants and/or project management experience preferred
  • Excellent organizational skills: the ability to multi-task, learn quickly, and work independently and productively in a fast-paced and detail-oriented environment.
  • Flexible work attitude, proactive and demonstrated creativity: the ability to work productively in a team environment and the ability to problem solve creatively with minimal guidance
  • Excellent interpersonal and communication skills: the ability to effectively liaise with and motivate a variety of people in a multi-cultural environment and across various time zones
  • Excellent Computer skills: proficient in all MS Office, especially Excel

Preferred Requirements

  • Fluency in Arabic and/or French
  • Experience in humanitarian setting or development contexts
  • Experience implementing and supporting team collaboration tools
  • Budget management skills including experience tracking expenses and developing spending plans.
