Job Overview/Summary: The Administrative Assistant primary responsibility is to provide high quality, core administrative support to the President's Office Executive Assistant and team. At moments of high workflow such as Leadership Board meetings or Senior Leaders Group conferences, the responsibilities of the Administrative Assistant will also include supporting specifically these events.
Major Responsibilities:
- Assist as necessary in the organization, support and scheduling of meetings and conferences. This includes taking accurate meeting minutes
- Assist in and make travel arrangements, including flights, accommodations, visa applications and ground transportation
- Assist in the preparation of meeting materials, including collection, preparation and assembly of materials
- Prepare and update multiple contact lists, and prepare email mailings
- Handle, receive and greet visitors as needed and ensure daily visitors are entered in the security system
- Review incoming mail and organize correspondence needing direct attention
- Process expense reports and invoices
- Assist with the preparation, editing, scanning, copying and distribution of written correspondence
- Manage and order supplies and electronic equipment for the President's office team
- Perform other job related duties as assigned
- Provide back-up support to President's Office Executive Assistant. This includes acting on behalf of the EA during scheduled leave

Job Requirements:
- Advanced degree, college graduate
- Minimum 2-3 years experience
- Excellent organizational skills and demonstrated ability to multitask
- Service oriented and flexible, commitment to help and support in a fast paced, fast changing environment
- Excellent interpersonal skills with the ability to establish and maintain strong working relationships at all organizational levels
- Ability to take initiative and function independently
- Strong oral and written communication skills
- Strong attention to detail
- Strong computer acumen including proficiency in Microsoft Word, Excel, Power Point and Outlook
- Must be able to manage time for self and others
