Under the supervision of the Operations Coordinator, this position will be responsible for the efficient coordination and management of all transport, fleet management functions for IRC’s office in Molivos. The position will also be responsible for the standardization of policies and good fleet management practices across all the field sites and will require regular travel to provide technical support to the field-based fleet management staff.
The Transportation Manager will be responsible to oversee day to day transport activities including, bus movement, IRC fleet (including transportation of personnel and items and shifts coordination.

Position directly supervises: **Transportation and dispatch officers and indirectly the loading assistants.
Specific Responsibilities:
- Ensure that Fleet policies and procedures are in compliance with appropriate IRC and funding source policies, procedures and requirements. All locations and staff act in accordance with the policies.
· Work with the Operations Coordinator to design a suitably staffed and equipped refugees transportation function to support the IRC’s operations and policies.
· Implement and direct IRC standard Vehicle policies and procedures, with particular attention to safety and security issues.
· Manage and be accountable for the bus loading.
· Evaluate, manage and monitor Transportation officers, dispatch assistants as well as loading assistants.
- Focal point for all purchases in Transport department. Raising PRs for vehicle rentals.
· Manage the vehicle pool, movement requests, vehicle scheduling in coordination with the Transport Officer (fleet) and Senior Supply Chain Manager.
· Ensure the correct and timely routine maintenance and repair of rental vehicles and IRC generators.
· Ensure that all vehicles carry the required on-board documentation and that all documents are kept current (including insurance).
- Inspect and record condition of vehicles, by maintaining weekly checklists file and ensuring that Vehicles log books are accurately filled.
- Ensure all vehicles are properly cleaned on regular basis.
- Inspect the conditions of IRC rented buses and monitor drivers’ behavior and driving skills.
- Prepare weekly and monthly report on transport department and discuss with Senior Supply Chain manager.
· Work closely with the Senior Supply Chain Manager and Operations coordinator to ensure that vehicles are prepared for routine and emergency security requirements.
· Ensure that all vehicles are secure when not in use.
· Be familiar with local regulations / laws.
· Ensure full logistical support is provided to ensure effective running of the FO.
· Be the focal person for arranging bus movement between the new site and camps in the south.
· Conduct documented quarterly job performance reviews of Transport staff, providing appropriate feedback.
· Prepare a time schedule for the transport department.
· Prepare weekly and monthly reports on all transport activities on the island.
· Any other duties as may be assigned by the Operations Coordinator.
Qualifications:
- Degree or professional certification in Operations Management, Business Management or related field strongly preferred.
- At least 3 years’ experience managing a large multi-site Transportation operation, preferably within an INGO setting.
- Demonstrated excellence in training and capacity-building of specialist and non-specialist staff in Fleet Management.
- Ability to write narrative and analytical spread sheet reports.
- Proven computer literacy in MS-Word, MS-Excel MS-Access and related programs required.
- Ability to plan, prioritize, coordinate and perform multiple tasks simultaneously.
- Ability to work under pressure and to meet deadlines.
- Willingness to put in extra hours as required.
- Willingness to travel to field sites.
- Systems oriented individual.
- Good team player.
- Strong organizational, interpersonal and communication skills.
- Fluency in English, both written and spoken; Greek an advantage.
- Valid driving license
