United States of America: Operations Coordinator

CEO is a start-up operation, currently managed by a 3-person team and actively in the process of scaling its operations. Reporting to CEO’s Director, and working closely with the Lending and Finance Managers, the new Operations Coordinator role will be accountable for day-to-day functions of the business, while also working to actively enhance systems, processes and technology integrations to improve CEO’s overall efficiency and capacity. In addition to the core job duties, the Operations Coordinator is also tasked with playing a supporting role across other organization functions – inclusive of both administrative support as well as helping with grants, donor reports, data analysis, marketing, presentations and contributions to CEO’s overall strategy and direction.
Responsibilities

Lead implementation of all support, training & engagementof CEO borrowers and IRC staff users

  • Ensure data quality, case notes, records of borrower communications are accurate and updated; make case notes of all borrower and relevant IRC user interactions
  • Coordinate, monitor and contact delinquent borrowers in coordination with local IRC staff
  • Promptly respond to all borrower and IRC staff requests or questions
  • Lead in refining, organizing and disseminating resources, including trainings, factsheets, and other instructional guidance for IRC users and borrowers
  • Lead all new user trainings (via webinars) of CEO’s lending platform
  • Develop and implement systems for consistent incorporation of borrower and IRC user feedback into CEO’s operations

Facilitate financial transactions

  • Liaise with insurance companies, financial institutions, auto dealers or others with whom CEO must regularly interact to support efficient, proper resolution of business
  • Work closely with Lending Manager, auto dealer or other vendors to ensure all liens are properly filed and perfected
  • Develop forms, factsheets, other materials to facilitate recurring transactions and help improve efficiency
  • Ensure data quality, case notes, records of all loan actions, vendor interactions, primary documents, etc., are consistently and rigorously maintained

Build CEO’s operating capacity

  • Research, pilot, and rollout improvements and enhancements across CEO’s core operating areas and systems
  • Support the team in identifying key bottlenecks, actively find opportunities for scale improve efficiency & effectiveness; bring ideas and creativity
  • Recruit, train and supervise interns or volunteers as needed to support key CEO initiatives or functions
  • Support in project design, grant applications, reporting, and other related development duties

Other Duties

  • Support ongoing administrative, data quality, and fiscal functions that are shared across all team members.
  • Provide support or backfill for any other business functions as needed, as a part of CEO’s small, integrated team with cross-functional roles

Qualifications

  • Undergraduate degree is required; Advanced degree or education in business or finance preferred
  • At least 3 years of experience with economic empowerment programs in a diverse, social-service setting; lending or related financial experience preferred
  • Must have exceptional customer service skills and mindset; experience serving diverse clientele strongly preferred
  • Previous experience creating and delivering trainings; strong preference for prior experience with facilitating web-based training sessions
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook); advanced Excel proficiency a strong plus
  • Exceptional communication skills with fluency in both written and spoken English

Working Environment: The Operations Coordinator may be stationed in any IRC office in the U.S. and will have a flexible schedule that may include some regular work from home. Some travel may be required for conference, board or team meetings (5% of time).
