IRC's Global Partnerships and Philanthropy (GPP) department is responsible for the global delivery of the International Rescue Committee's private sector resources (financially contributing circa USD200m per annum, as well as key partnerships and influence that support our mission), and plays an important strategic role in the creation of IRC's brand, awareness and support for its advocacy goals.

The IRC's strategy centers on its ambition to continue to improve the scale and effectiveness of IRC programs worldwide with evidence of what works best to impact people's lives in conflict and fragile settings. GPP comprises colleagues and teams delivering marketing, account management, leadership gifts, board liaison, corporate partnerships, brand stewardship and communications to support this work. These colleagues are primarily located in the USA at present - but IRC plans to significantly expand its global fundraising footprint. Other colleagues within IRC are also deeply engaged with private funding & partners - in particular within Europe, US Resettlement and field programs - and we need to work in close integrated collaboration to ensure best use of resources and highest impact for IRC.

GPP has begun delivering a new radical and ambitious 2020 Private Sector Engagement strategy that will enhance IRC's ability to 'punch above its weight' in income, partnership and awareness. At the same time - believing that the root of our success lies in a high performance team and culture - we need to build our internal infrastructure, ensure we build a strong global team, a dynamic culture, a forward thinking ethos, and establish 21st century analytics, reporting, operational and business management practices that will help us achieve our ambitious goals.

Job Overview / Summary:

The Gift Processing & Database Associate is primarily responsible for timely and efficient processing of donations; creating and maintaining accurate donor records; donation data entry; quality control and donation data integrity; and protocol development. The Associate will cross-train on all functions of the Gift Processing team. The ideal candidate will be flexible and remain open to evolving responsibilities and expectations as our systems, and the teams we support, grow and evolve.

Major Responsibilities:

  • Batch, scan, process, and deposit daily donations (check, credit card, EFT, etc.);
  • Create and update donor records;
  • Data-enter and upload donations with high accuracy to support financial reporting and fundraising efforts; special focus on high-touch gift entry and reporting, however, knowledge and support of all gift entry activities will be critical;
  • Perform daily gift quality control and other regular data hygiene review processes;
  • Field donation and donor update requests via case/task system;
  • Support specialized donation processing, including workplace, recurring, and third-party platforms;
  • Create protocols to maintain consistent and accurate data during transfer, storage and retrieval;
  • Participate in special projects as needed.

Key Working Relationships:

Position Reports to: Assoc. Director, Database & Gift Management

Position directly supervises: n/a

Indirect Resources: IRC donor databases and vendors

Other Internal and/or external contacts

Internal: Regular interaction with teams across the Global Partnerships & Philanthropy department to confirm donation and donor details, facilitate case and task requests, and coordinate technical solutions, as well as with the Finance department. Supports the Data & Analytics Unit by ensuring the accuracy of donor records.

External: Coordinate with third party mail processing vendor, and other key Data & Analytics vendors.

Impact of work: Accurate donor and gift records are the cornerstone for reporting and forecasting, and facilitates a better donor experience. This in turn supports the IRC's ability to cultivate, solicit, and thank our donors.

Job Qualifications:

Education:

Minimum: Bachelor's or equivalent work experience

Preferred:

Work Experience:

Minimum: 2 to 3 years of clerical/admin support positions.

Preferred: 2 to 3 years of work experience preferably in a fundraising, development operations, advancement services or customer service or related field, particularly in a non-profit environment.

Demonstrated Skills and Competencies:

Minimum:

  • Excellent computer skills: facility with MS Word, Excel, and email/internet software.
  • Excellent oral and written communication and interpersonal skills: possess the ability to communicate and liaise effectively with colleagues and vendors and works well within a team environment;
  • Solid organizational skills: the ability to work productively in a fast-paced, detail-oriented, and collaborative environment and the ability to independently manage a multi-faceted workload and meet strict deadlines;
  • Accuracy and attention to detail a must; sensitivity when working with highly confidential information and ability to maintain complete discretion at all times;
  • Ability to identify areas to increase efficiency of our systems;
  • Proven ability to plan and manage a variety of projects and high work volume: must work well under pressure, prioritize, show flexibility, and solve problems creatively;

Preferred:

  • Solid experience and understanding of fundraising or accounting software is helpful; roundCause environment or other Salesforce-based applications preferred; SQL programming is a great plus;
  • Demonstrated aptitude for analyzing and interpreting data and systems: ability to identify areas to increase efficiency a plus.

Language Skills: English

Working Environment: This role may require working remotely full or part time, and part time remote employees may be required to share workspace. Applicants should have a home or alternate workspace they can effectively complete their work from during regularly scheduled work hours.
